MasterControl and Veeva Vault Quality are two of the names that appear most often when a life sciences company chooses an eQMS. Both are established and both are capable. They come from different places, and that shapes who each suits.
We implement eQMS systems rather than sell one, so this is written from the implementation side. Capabilities change often, so confirm specifics with each vendor.
Where each comes from
MasterControl has been in quality management for a long time, with a broad set of modules covering documents, training, quality events, CAPA, audits and suppliers, and a manufacturing offering alongside. It has a large customer base across pharma, biotech and medical devices, including many mid-sized companies.
Veeva Vault Quality is part of the wider Vault platform, which also covers regulatory, clinical and other areas. Its quality applications include document management and a QMS for quality events. It is especially strong with companies that already use Vault elsewhere.
The platform question
The biggest difference is often not a feature. It is whether you want quality on the same platform as regulatory and clinical. If you already run Vault RIM or Vault Clinical, Vault Quality gives you shared data, one vendor and fewer integrations. That can outweigh feature-by-feature comparisons.
If you have no other Vault applications, the platform advantage disappears, and the comparison becomes more about fit, cost and implementation effort.
Fit by company size and type
- Large pharma already on Vault: Vault Quality is usually the natural choice.
- Mid-sized pharma or biotech not on Vault: both are realistic, and cost and implementation effort tend to decide. Simpler cloud QMS products such as Qualio are also worth a look if speed matters more than breadth.
- Medical device companies: MasterControl has a long device customer base. Device-focused products such as Greenlight Guru are also strong contenders, especially for design controls.
Implementation and validation
Both are configurable products, and both need your configuration validated: workflow routing, approvals, signature meanings, document effective dates and migrated records. Both vendors provide validation support material for their platforms. Use it, and test your own configuration rather than the vendor's standard functions. Our eQMS validation guide covers how.
Plan carefully for migrating legacy documents and quality records, which is often the riskiest part of the project whichever product you choose.
Questions to ask both
- Show us our three most common quality event workflows configured, including rejection and reassignment.
- What does implementation look like for a company our size, and who from our side is needed?
- How often do you release, and how do we assess and test releases before they reach production?
- How do we export documents, records and audit trails if we leave?
- What AI features are included, what do they do, and can they be switched off?
