GxP Software
Everything you need to know about GxP software — what it is, how to evaluate it, which platforms lead in 2026, and how to implement without losing six months.
What Is GxP Software?
GxP software is any computerised system that creates, modifies, maintains, archives, retrieves or transmits data supporting an activity governed by Good Practice regulations — pharmaceutical manufacturing (GMP), clinical trials (GCP), laboratory work (GLP) and distribution (GDP). The defining question is not what the software is called or who sells it. It is whether a regulated decision or record depends on it.
If one does, the system must be proven fit for its intended use before it is relied on, and kept in that state afterwards. That is the whole obligation, and it is the reason validation exists. 21 CFR Part 11 governs electronic records and signatures in the United States; EU GMP Annex 11 covers computerised systems in Europe; GAMP 5 Second Edition is the industry framework for how the work is actually done. None of them lists approved products — they describe what you have to be able to demonstrate about whatever you use.
In practice the term covers quality management, laboratory, manufacturing, clinical, regulatory and enterprise systems, plus the validation tooling that proves the rest of them work — and, increasingly, AI-native platforms that draft regulated documentation. What they share is an obligation to maintain audit trails, controlled access, attributable records and documented evidence that the system does what you say it does.
What Does GxP Stand For?
The G stands for Good and the P for Practice. The x is a placeholder for whichever discipline is being regulated, which is why the term exists at all — it lets you refer to the whole family without listing it every time.
- GMP — Good Manufacturing Practice. Making the product.
- GCP — Good Clinical Practice. Running trials in people.
- GLP — Good Laboratory Practice. Non-clinical safety studies, narrower than most people assume.
- GDP — Good Distribution Practice. Storage and transport.
- GVP — Good Pharmacovigilance Practice. Monitoring safety after approval.
One point worth correcting, because it causes real confusion in procurement: GCP is not an alternative to GxP. It is one of the GxPs. Asking whether a system is GxP-compliant or GCP-compliant is a category error — the question is which of the Good Practices apply to what you are using it for, and a single system can fall under several at once.
There is also no such thing as GxP-certified software. No regulator certifies products. A vendor can be assessed, and their evidence can reduce your work, but the validated state belongs to your implementation of their software in your process. Any vendor claiming GxP certification is describing something that does not exist — see the questions that separate real claims from marketing.
Types of GxP Software
Ten categories cover almost every regulated estate. Most organisations run six or seven of them.
eQMS — Electronic Quality Management System
Deviations, CAPA, change control, complaints, audits, document control and training records. Veeva Quality, MasterControl, Qualio, Greenlight Guru.
LIMS — Laboratory Information Management System
Sample lifecycle, instrument interfaces, result entry, specifications and certificates of analysis. LabWare, LabVantage, STARLIMS, Benchling.
ELN — Electronic Laboratory Notebook
Experimental records, method execution and scientific data capture. Frequently deployed alongside a LIMS rather than instead of one.
MES and Electronic Batch Records
Master recipes, batch execution, weigh and dispense, equipment integration and review by exception. PAS-X, Opcenter, Rockwell, Körber.
CTMS — Clinical Trial Management System
Trial planning, site management, monitoring visits, milestones and study-level oversight under GCP. Often paired with an EDC system.
RIM — Regulatory Information Management
Registrations, submissions, health authority correspondence and labelling across markets. Veeva RIM, Ennov, ArisGlobal.
Safety and Pharmacovigilance
Adverse event intake, case processing, narratives, aggregate reports and signal detection under GVP.
Validation Management
The CSV and CSA lifecycle itself — requirements, risk, test cases, traceability and release. ValGenesis, Kneat, GxP Copilot.
ERP — Enterprise Resource Planning
Materials, batch genealogy, quality inspection lots, warehouse and distribution. Only partly GxP-relevant, which is where scoping goes wrong. SAP S/4HANA, Oracle.
AI-Native Platforms
Systems that draft regulated documentation and route it for human approval, rather than only storing it. GxP Copilot, TraceDraft.
How Is GxP Software Validated?
Validation is traditionally demonstrated through three qualification stages, and they answer three different questions.
- IQ — Installation Qualification. Is it installed as specified, in the environment specified?
- OQ — Operational Qualification. Does it function as specified across its operating range, including at the boundaries?
- PQ — Performance Qualification. Does it work for your process, with your data, in the hands of your people?
That structure is sound and it is not the whole picture any more. The FDA finalised its Computer Software Assurance guidance on 24 September 2025, superseding Section 6 of General Principles of Software Validation, and it establishes that assurance effort should be proportionate to the risk a given function carries. Unscripted testing and supplier evidence are legitimate assurance activities rather than concessions.
The practical consequence is that the three stages remain a useful way to organise evidence, while the depth within each one now varies by requirement rather than being applied uniformly. A function that cannot affect product quality, patient safety or data integrity does not warrant the same scripted rigour as one that can — and saying so, with the reasoning written down, is the approach rather than a shortcut from it. The move from CSV to CSA is where that gets explained properly.
The piece organisations most often miss is that validation does not end at go-live. EU GMP Annex 11 asks for periodic evaluation confirming systems remain in a valid state. A validated system whose documentation has drifted from reality is the most common finding we see, and it accrues quietly.

Frequently Asked Questions About GxP Software
What is GxP software?+
GxP software is any computerised system used in a Good Practice regulated environment — pharmaceutical manufacturing, clinical trials, laboratory operations, or distribution. These systems must be validated and maintain data integrity under regulations like 21 CFR Part 11, EU Annex 11, and GAMP 5. Examples include eQMS, LIMS, MES, ERP, validation management platforms, and document management systems.
What does GxP stand for?+
The G stands for Good and the P for Practice; the x is a placeholder for the discipline being regulated. GMP is Good Manufacturing Practice, GCP is Good Clinical Practice, GLP is Good Laboratory Practice, GDP is Good Distribution Practice, and GVP is Good Pharmacovigilance Practice. The term exists so you can refer to the whole family without listing every member.
What is a GxP system?+
A GxP system is any computerised system that creates, modifies, maintains, archives, retrieves or transmits data supporting a regulated activity — or that otherwise influences a regulated decision. The test is dependency rather than category: if a GxP decision or record depends on the system, it is in scope and must be proven fit for its intended use. A tool that arranges information recorded properly elsewhere is generally not, which is why scoping by dependency rather than by software type is the step that keeps validation proportionate.
What is the difference between GxP and GCP?+
GCP is not an alternative to GxP — it is one of the GxPs. GxP is the umbrella term covering Good Manufacturing, Clinical, Laboratory, Distribution and Pharmacovigilance Practice; Good Clinical Practice is the member of that family governing trials conducted in people. Asking whether a system is GxP-compliant or GCP-compliant is a category error. The useful question is which of the Good Practices apply to what you are using the system for, and a single system can fall under several at once.
What are examples of GxP software in pharma?+
A typical pharmaceutical estate runs: an eQMS for deviations, CAPA, change control and training; a LIMS and often an ELN for laboratory work; an MES with electronic batch records on the production floor; a SCADA or DCS layer controlling equipment; a CTMS and EDC for clinical studies; a RIM system for registrations, submissions and labelling; a safety database for pharmacovigilance; an ERP such as SAP for materials and batch genealogy; and a validation management platform covering the lifecycle of all of them. Only the GxP-relevant portions of each are in scope, which matters most for ERP, where scoping by module rather than by regulatory impact is what makes validation unmanageable.
Is there such a thing as GxP-certified software?+
No. No regulator certifies software products as GxP-compliant, and any vendor claiming certification is describing something that does not exist. A supplier can be assessed, and their documented evidence can legitimately reduce your testing under a risk-based approach — but the validated state belongs to your implementation of their software, in your process, for your intended use. A vendor can make compliance easier or harder; they cannot transfer the obligation.
What types of GxP software exist?+
The main categories are: eQMS (quality management), LIMS (laboratory information), MES (manufacturing execution), ERP (enterprise resource planning), validation management (CSV/CSA lifecycle), document management (controlled documents and SOPs), clinical platforms (CTMS, eTMF, EDC), and AI-native platforms like GxP Copilot that use artificial intelligence to automate regulated workflows.
How do I choose the right GxP software?+
Start with your regulatory requirements and process needs. Evaluate vendors on compliance features (audit trail, Part 11, Annex 11), validation burden (how long to implement and validate), total cost of ownership, scalability, and vendor qualification. For mid-market companies, avoid enterprise platforms that require 6-month implementations and dedicated admin teams.
Does GxP software need to be validated?+
Yes. Any software supporting GxP-regulated processes must be validated before production use. Under GAMP 5 and Computer Software Assurance (CSA), validation effort is scaled to risk — high-impact GxP systems get rigorous testing, while low-risk configurations may rely on vendor qualification and documented verification.
What is the best GxP software in 2026?+
It depends on category. For validation management, GxP Copilot leads with AI-native drafting. For eQMS, Veeva Vault Quality and MasterControl serve large enterprises while Qualio targets mid-market. For LIMS, LabWare and Benchling lead. For MES, Rockwell PharmaSuite and Siemens Opcenter. No single platform covers every GxP need.
How much does GxP software cost?+
We do not publish price ranges, because licensing in this category varies so widely with module scope, user count and organisation size that any figure would mislead more than it informs. What is more useful is knowing what drives total cost, because the licence is rarely the largest part. Three things dominate: how much of your requirement is configuration rather than development, because development is GAMP category 5 and carries category 5 validation depth; how much supplier evidence you can actually obtain and rely on, which directly reduces your own testing; and implementation effort, which frequently exceeds first-year licensing once validation, configuration, data migration and training are counted. Ask about all three during selection, while you still have leverage.
Can I use Excel instead of GxP software?+
Excel can work for very small validation portfolios, but it lacks audit trails, electronic signatures, change control, and concurrent access. As your portfolio grows beyond 5-10 systems, spreadsheet-based validation becomes difficult to defend during inspections and increasingly expensive to maintain.
