Signed means signed. Frozen means frozen.
Electronic signatures require the ceremony 21 CFR Part 11 demands — including re-authentication, meaning, name, timestamp and content binding. Authors cannot approve their own drafts. Signed versions cannot be silently edited. Regulators get real Part 11 posture, not checkbox posture.

21 CFR Part 11 compliance means electronic records and signatures an inspector can rely on. GxP Copilot re-authenticates the signer at every signature, records the signature's meaning, binds it to the exact content signed, freezes the signed version so it cannot be altered, and keeps an append-only audit trail whose integrity can be verified on demand.
Approve buttons that call themselves signatures
A great many systems describe a button labelled Approve as an electronic signature. The user is already logged in, nothing is re-authenticated, the record of the approval sits beside the document rather than bound to it, and the document stays editable afterwards.
None of that satisfies Part 11, and the gap usually surfaces during an inspection rather than during procurement, because the vendor's compliance page said the words and nobody tested what the button actually did.
A signature that behaves like one
Signing requires the signer to re-authenticate, not merely to be logged in. The signature records who signed, their role, the meaning — authored, reviewed, approved — and the time in UTC, and those appear on screen and in the exported record rather than only in a log.
The signature is bound to the exact content that was signed. Afterwards that version is frozen: its content, hash, version and file cannot change, it cannot be deleted, and it cannot be returned to an editable state.
- 1The signer’s printed name
- 2When it was signed
- 3What the signature means
- 4Credentials entered again at signing
Separation the system enforces
An author cannot approve their own record. Reviewer and approver are distinct from the author and from each other across the cycle, and nobody can witness their own execution. These hold because the system enforces them, not because a procedure asks people to remember.
Where several records are signed together, the batch requires a full re-authentication and produces one signature per record, rather than one signature covering a list.
An audit trail you can verify
The trail is append-only and tamper-evident, captures the change and its audit entry together, and its integrity can be checked rather than asserted. The standard inspection question about whether records could have been altered becomes a check with a result instead of a description of controls.
Exports carry evidence with its metadata, so a printed record retains what makes it meaningful rather than becoming an undated screenshot.

Common questions
Prefer to talk first? Chat with us on WhatsApp or book a call with an expert.
What makes an electronic signature Part 11 compliant?
Under §11.50 the signed record must carry the signer's printed name, the date and time, and the meaning of the signature. Under §11.70 the signature must be permanently linked to the record so it cannot be copied or transferred. Under §11.200 a non-biometric signature uses two components with re-authentication at signing.
Is an Approve button an electronic signature?
Not on its own. If the user is not re-authenticated, if the meaning is not recorded, if the approval is not bound to the exact content signed, or if the record remains editable afterwards, it does not meet Part 11. This gap is common and usually surfaces during an inspection rather than during procurement.
Does using GxP Copilot make our system Part 11 compliant?
It provides the controls Part 11 requires for the records it holds, and supplier evidence toward your own assessment. It does not replace your validation of the platform for your intended use, nor your own procedures — training, accountability policies and the FDA certification letter under §11.100(c) remain yours.
