How validation software is priced: ValGenesis, Kneat, Veeva and others

Most validation software vendors do not publish prices. Licences are usually per user, per site or module, or platform plus usage, with implementation priced separately. Implementation, configuration ownership, validating the tool and authoring time often cost more than the licence.

Key takeaway

Most validation software vendors do not publish prices. Licences are usually per user, per site or module, or platform plus usage, with implementation priced separately. Implementation, configuration ownership, validating the tool and authoring time often cost more than the licence.

One of the most searched questions about validation software is how much it costs. ValGenesis, Kneat, Veeva and most others do not publish prices, so buyers end up comparing quotes that are structured differently and hard to line up.

We will not guess at other vendors' prices. What we can do is explain how this software is usually priced, where the real cost sits, and how to compare quotes fairly.

Why prices are not published

Enterprise validation platforms are sold through negotiated contracts. The price depends on the number of users, sites and modules, contract length, and how much implementation support is bundled. Two companies buying the same product can pay very different amounts. That is normal for this market, but it means a published list price would tell you little anyway.

The common pricing models

  • Per named user. A licence for each person with an account, sometimes with cheaper rates for reviewers or read-only users.
  • Per site or per module. A fee for each manufacturing site, or for each part of the product, such as equipment qualification or computer system validation.
  • Platform plus usage. A base subscription plus charges linked to volume, such as the number of systems or projects.
  • Implementation and services. Usually a separate fee, and for configurable enterprise platforms it can be a large share of the first-year cost.

Ask every vendor which model they use, and ask them to price the same scenario so you can compare.

Where the real cost is

Licence fees are the visible part. For many buyers the larger costs are elsewhere.

Implementation. Configuring templates, workflows and roles for a highly configurable platform is a project in its own right, and it takes your people's time as well as the vendor's.

Configuration ownership. Someone has to own and maintain the configuration after go-live. If that is a new role, include it.

Validating the tool itself. The platform is a GxP system. Vendor evidence reduces the effort, but your configuration still needs testing, and each release needs assessment.

Authoring time. The biggest ongoing cost in most validation programmes is people writing and reviewing documents. A tool that reduces that effort can be worth more than one with a lower licence fee.

A fair way to compare

Build a three-year total cost for each option using the same assumptions: number of users by type, number of systems or equipment validated per year, implementation fees, internal staff time for implementation and administration, validation of the tool, and the expected change in authoring and review hours.

The last line is the one vendors are least likely to fill in for you, and the one that often decides the answer. Our pieces on the cost of manual validation and the ROI of AI-first validation show how to estimate it without inventing numbers.

Questions that get straight answers

  • What exactly is included in the licence, and what is extra?
  • What does implementation typically cost for a company of our size and number of sites?
  • How do prices change at renewal, and is there a cap?
  • What happens to our data and executed records if we leave, and is export included?
  • Are AI features included or priced separately?

Frequently Asked Questions

How much does ValGenesis cost?+

ValGenesis does not publish prices. Like most enterprise validation platforms it is sold through negotiated contracts, with price depending on users, sites, modules, contract length and implementation support.

What are the hidden costs of validation software?+

Implementation and configuration, someone to own the configuration after go-live, validating the tool itself and assessing releases, and the ongoing authoring and review time the tool does or does not reduce.

How do you compare validation software quotes?+

Build a three-year total cost for each option on the same assumptions: users by type, systems validated per year, implementation fees, internal staff time, validation of the tool, and expected change in authoring hours.
