In short

A learning management system holds training curricula, assignments, completion records and qualification status for regulated roles. In a GxP context the system has to show, per person per procedure, that training was current when the work was performed — which is the question asked during an inspection, and the one most implementations answer awkwardly.

GxP Training Records: What Inspectors Look For

GxP training records are inspected with three questions: did this person complete the training required for their role? Did they complete it before performing the activities the training covers? Is the completion record attributable, legible, and secure? A paper-based training record system managed through signature sheets can satisfy the first two questions if the training programme is well-designed; it struggles with the third, where signature attribution, completeness, and secure retention requirements create compliance gaps that are hard to close without an electronic system.

An LMS that manages GxP training records must satisfy 21 CFR Part 11 requirements: unique user accounts, electronic signatures on training completions that include signer name, date/time, and assessment meaning, a computer-generated audit trail for all training record modifications, and secure record retention for the required retention period. These requirements apply regardless of which LMS platform is used — SuccessFactors, Cornerstone, Veeva Vault Training, or SumTotal. Our LMS validation practice verifies these controls at the system configuration level, not just at the policy level.

Validated state
Periodic reviewA set cadence confirms the system still does what it was validated to do
Change controlEvery change is assessed for its impact before it is made
Supplier reassessmentVendor releases and evidence are checked when they change
Deviations and incidentsProblems are investigated and fed back into the record
Validation does not end at go-live. Each of these can move a system out of its validated state, and each brings it back with evidence.

Role-Based Curriculum Design for Regulated Environments

A GxP training programme is not a list of courses assigned to all personnel. It is a structured curriculum where each role in the organisation has a defined set of required training modules, each module addresses the specific GxP knowledge and skills required for the role's activities, and the curriculum is maintained so that new procedures trigger training assignment to all affected roles and that personnel changing roles receive role-specific training before performing new activities.

Our LMS implementation practice includes curriculum design as a core deliverable: role inventory, procedure-to-training module mapping, curriculum specification by role, and an ongoing curriculum maintenance process that links the document control system to the training assignment system. When a standard operating procedure is revised, the LMS automatically assigns the updated training to all personnel whose roles require the procedure — creating the closed-loop documentation system that inspectors look for when they evaluate whether training is actually connected to the quality system rather than running in parallel.
