In short

SAP validation covers the modules that touch GxP records — batch management, quality management, warehouse and production planning — as a configured commercial product under GAMP Category 4. The work concentrates on the configuration you actually applied, the interfaces to other regulated systems, and the authorisation model that enforces segregation of duties.

SAP Validation is delivered by our validation & compliance services practice. Where it saves time, the team uses our products: GxP Copilot for validation lifecycle work and TraceDraft for clinical documentation.

SAP in GxP Environments: Scope and Risk

SAP is deployed in GxP-regulated environments primarily for batch management, material master, quality management (QM module), advanced planning and optimisation, and extended warehouse management. In pharmaceutical manufacturing, SAP ECC and S/4HANA are often the system of record for batch dispositions, approved material status, and specification management — functions that directly affect product release and therefore carry the highest GxP impact classification. The SAP validation scope must be driven by a risk assessment that identifies which modules and transactions create, modify, or maintain GxP-critical data.

The transition from SAP ECC to S/4HANA presents a specific validation challenge: the data model changes are significant enough that ECC-era validation documentation cannot be carried forward without assessment. Migration validation for S/4HANA must cover data migration integrity (were all GxP-critical records migrated accurately and completely?), functional regression (do existing GxP-critical transactions behave identically in S/4HANA?), and new functionality assessment (do S/4HANA-specific features used in GxP processes require qualification testing?).

Role-Based Access Control and Part 11 Posture

SAP's role-based access control (RBAC) through the authorisation object framework is both its greatest strength and its most common compliance weakness in GxP environments. The strength: fine-grained transaction and field-level access control that can enforce segregation of duties. The weakness: SAP RBAC is notoriously complex to configure correctly, and most SAP implementations accumulate role conflicts and excessive authorisations over time as the role design is patched rather than redesigned.

A 21 CFR Part 11 and Annex 11 compliant SAP posture requires: unique user accounts with no shared login; role designs that enforce segregation of duties for GxP-critical transactions; electronic signatures configured with the correct components (signer name, date/time, signature meaning) for GxP-critical approvals; and an audit trail that captures all GxP-critical data changes with before/after values, timestamps, and user attribution. Our SAP validation practice includes a dedicated Part 11 posture assessment covering all four elements, with remediation plans for the access control conflicts that are present in virtually every inherited SAP estate.
